Do not stop at “sent”.
Important tenant communications need a usable record of what was issued and when. Where the platform receives a tenant confirmation or response, that stays with the tenancy too.
Renters’ Rights Act · England
For most private assured tenancies in England, the operating model changed on 1 May 2026. This guide explains the practical landlord workflows and shows where Landlord Buddy helps organise the process and evidence.
Landlord Buddy is software and operational support, not a law firm. This page is practical product guidance, not legal advice.

The operational lesson
The practical challenge in a tenancy is implementation: was the right information sent, did it bounce, was a fallback route used, what did the tenant acknowledge, what date was recorded, and did the next step happen in the right order?
Important tenant communications need a usable record of what was issued and when. Where the platform receives a tenant confirmation or response, that stays with the tenancy too.
A checklist can be ignored. A guided process can make the missing document, date or decision visible before the landlord moves on.
Expiry dates, tenant-facing documents, rent history, inspections and maintenance records are more useful when they stay connected to the same property and tenancy.
If arrears, possession, a tribunal challenge or another dispute develops, the landlord or appointed adviser can start with the chronology rather than reconstructing it months later.
Tenancy setup
For tenancies created under the current regime, specified written information has to be provided at the required point in the tenancy setup. The practical problem is not only knowing what should be sent; it is being able to show what was sent and when.

Landlord Buddy: keeps the offer, required communications and later tenancy steps in one staged workflow.
Compliance documents
A landlord may need to know whether the EPC, EICR and gas record are current, where they are stored, and whether the relevant tenant-facing document was actually shared.

Section 13 rent increases
Under the current assured-periodic regime, the timing and Form 4A process matter, and the tenant can challenge the proposed rent. Landlord Buddy keeps the market evidence and service record with the same tenancy.

Save the PropertyData snapshot and individual comparable listings supporting the proposed rent.

Use the tenancy dates and annual timing controls before generating the official notice.

Upload the completed signed notice and record the route and date used to serve it.
Possession and arrears
If the tenant does not leave voluntarily, possession depends on the relevant statutory ground and the correct process. Rent arrears are a good example of why a reliable chronology matters: what was due, what was received, when the arrears started and what communication followed.

Property condition, maintenance & access
The wider reforms continue to increase the importance of property-condition records. Landlord Buddy keeps maintenance, inspections and access requests attached to the tenancy so the landlord can show when something was reported and what happened next.

The bigger product idea
Trying to reconstruct a tenancy only after a dispute, serious arrears or possession problem appears is slower and less reliable than keeping the chronology as the tenancy runs.

Keep certificates, expiry dates and retained files against the correct property.

Use the live ledger for the money chronology, with export available when the raw data is useful.

Maintenance, inspections, notices and other events remain in a dated property history.

Generate a branded certificate with a report reference and verification code that can be checked against the original Landlord Buddy record.
The rules will keep changing
When a material landlord rule changes, we review the official position, assess which Landlord Buddy journeys are affected, update the product where appropriate and create training and learning material around the change.
The PRS Database is the next obvious example. Government rollout is expected to begin regionally from late 2026. Once the final operating and technical route is known, we will assess where Landlord Buddy can safely reuse existing property/compliance data and automate steps rather than making landlords enter the same information again.
Customers can join unlimited virtual onboarding clinics, book monthly training, ask questions in advance and keep completed recordings and PDF guides in the app.
Use the official source for the law
Use the current GOV.UK “Assured periodic tenancies: a guide for landlords” and the linked official guidance when checking the legal requirements that apply to an individual tenancy.
