Requests, responses and visits

Keep a chronology of repairs and attempts to gain access.

Tenant-reported maintenance, landlord responses and planned visits can stay against the tenancy, creating a much clearer record if condition or access later becomes disputed.

What this lets you do

Complete the job and keep the useful record behind it.

Landlord Buddy is designed around the practical workflow rather than making the landlord maintain another disconnected checklist.

  • Tenant maintenance reports create a record and landlord notification.
  • Keep repair notes and status with the property.
  • Send proposed visits, compliance appointments or inspections through the portal and SMS where configured.
  • Retain the date, request and tenant response as evidence of the access attempt.

01

The activity remains in the file

Maintenance reports, access events, inspections and other important tenancy actions build a dated property history as you work.

What stays on the record

The task finishes. The history remains.

The exact record depends on the route taken, but this area is designed to leave the relevant dates, decisions and documents attached to the tenancy.

  • Issue reported date
  • Landlord response and updates
  • Photos / supporting documents where added
  • Visit or contractor appointment request
  • Tenant accept / decline response
  • Inspection and maintenance history

Relevant rules & official sources

Keep the legal detail available without making it the whole page.

The summaries below explain why the workflow exists. Landlord Buddy helps organise the process and evidence; the official source remains the authority.

Landlord and Tenant Act 1985 + Homes (Fitness for Human Habitation) Act 2018The property must be fit at the start and remain fit during the tenancy.

The Homes Act strengthened the implied landlord obligation that rented homes are fit for human habitation at the beginning of the tenancy and throughout it.

How Landlord Buddy helps: A maintenance chronology helps show when a problem was reported, what the landlord did next and how the issue progressed. It does not replace the duty to actually carry out required works.

Landlord and Tenant Act 1985 — access for repair / inspectionAccess requests should be clear and evidenced.

GOV.UK guidance says tenants should allow access for inspection or repairs where the landlord gives at least 24 hours’ notice and attends at a reasonable time, unless it is an emergency.

How Landlord Buddy helps: Appointments can be sent through the portal with the proposed date, time and reason, then the tenant’s response is retained against the tenancy.

Renters’ Rights Act 2025 — future PRS standardsAwaab’s Law for private landlords is coming, but is not yet in force.

The government roadmap places the private-sector extension of Awaab’s Law and the Decent Homes Standard in a later phase with implementation timescales still to be consulted on.

How Landlord Buddy helps: Landlord Buddy already treats repair reporting, response dates and evidence as a chronology, which is the right operational habit without pretending the future PRS timeframes are already law.
